The Engineering Society Council meets once a month, year round. Motions are submitted to the Speaker, who publishes an agenda before each meeting. Notes of debate, the results of votes, and attendance are published as minutes after each meeting. At the next meeting, the minutes are approved if they are deemed to be accurate.
According to the Constitution, the Speaker runs meetings by following Robert's Rules of Order. Although the current edition is copyrighted, the 1915 edition of the Rules is available online for reference.
Several types of meetings exist:
- Regular Meetings
- Only members of Council — the officers, directors, ex-officio directors, and class representatives — may vote, but others are welcome to attend and to address Council.
- General Meetings
- Any member of the Society can vote, or can proxy their vote. General Meetings are necessary to pass some types of motions.
- Annual General Meeting (AGM)
- The Constitution requires that at least one General Meeting be called each year, in October.
- Joint Council Meeting (JCM)
- In March, Council meets and swears in the newly-elected President. The meeting then adjourns, and a new meeting immediately begins. The President swears in the new CRO, who in turn swears in all the new officers and directors.
